
The South Bristol Gardening Club is organised by an Organising Team. This consists of a Club Organiser whose duties include acting as Chairman of the organising team, a Treasurer whose duties include maintaining the books and financial records of the club, and a Secretary whose duties include keeping and distributing minutes of organising team meetings and distributing agendas for such meetings. All other duties of the organising team are shared amongst the team members as they see fit.
The treasurer will prepare accounts (Income and Expenditure account and Balance Sheet) to be presented at the Annual General Meeting which will be held at the February meeting of the Club.
- Elections take place at the February club meeting for members of the organising team who take office with immediate effect
- Only club members can stand for election, and must be nominated by at least two members of the club. Only club members can vote at elections
- All nominations for elections must be with the secretary by the close of the December club meeting. The secretary will prepare voting papers for use at the February meeting if necessary
- A member can only be on the organising team for a maximum of five consecutive years and must then stand down from the organising team for a club year before being eligible for re-election
- Election is by simple majority vote
- The organising team can co-opt further club members to join the organising team during a year, but the new member must be approved at the club meeting following co-option. The new post then becomes an electable post for future years in the same way as above
- The accounts for the year will be reviewed, and presented to members at the Annual General Meeting. The reviewer is not to be a member of the organising team, and need not be a member of the club.
In the event of the club closing down, the remaining assets will be distributed to charities according to the wishes of the membership at that time.
